Position Summary

The Data Entry Specialist is responsible for maintaining accurate, up-to-date and useable information in the agency's various electronic databases. Data Entry Specialist duties include preparing, compiling and sorting documents for data entry, verifying accuracy of data, and transcribing information into electronic format. The Data Entry Specialist must operate in accordance with HIPAA confidentiality regulations and standards set by the organization.

 

 

Duties and Responsibilities

  • Develop and maintain working knowledge of all agency and partner database systems including ServicePoint, SanWITS, CRD, ARMS and MHOMS
  • Verify accuracy of data and make corrections when needed
  • Obtain further information when information is incomplete
  • Enter data from source documents into prescribed computer database, files and forms
  • Complete regular and ongoing data quality review of completed work
  • Maintain logbooks or records of activities and tasks
  • Respond to requests for information and access relevant files
  • Print and scan necessary documents into document management systems or databases when required
  • Identify any issues associated data quality and data integrity and coordinate with supervisor to develop a plan to address concerns
  • Comply with data integrity and security policies
  • Maintain office equipment and stationery supplies
  • Participate in required conferences/trainings/meetings relevant to internal and external databases

 

Knowledge, Skills & Competencies

Knowledge

  • Possess basic educational qualification, including GED or High school diploma
  • Formal computer training and experience in data entry preferred
  • Working knowledge of computer applications such as Microsoft Office
  • Knowledge of any or all of the following database systems preferred: ServicePoint, SanWITS, CRD, ARMS and MHOMS

  • Ability to handle project operations, client confidence, and protect confidential information
  • Possess strong capacity to work with deadlines and meet them
  • Possess outstanding English and Mathematical skills
  • Strong ability to perform assigned tasks swiftly and accurately, and also to be detailed oriented.
  • Possess outstanding skill in customer service delivery, as well as basic knowledge of spreadsheets, word processing and databases.
  • Ability to quickly learn how to use an online data management system
  • Possess effective oral and written communication skills
