Under the supervision of the Administrator of Program Operations, the Program Assistant will be responsible for providing general administrative support of various projects as assigned by the Administrator to ensure compliance and the effective management of program resources so that performance expectations for all programs are achieved.   The Program Assistant will assist the Administrator in ensuring that all programs within service division meet the Quality Assurance Standards of Volunteers of America, State, County and Federal regulatory agencies.


Associate Degree or equivalent related experience in social services or equivalent experience in an administrative or paralegal role. Ability to successfully pass fingerprints and criminal investigation screening. Must have valid driver's license and must meet insurance guidelines established by the Corporation. CPR/First Aid certified.

  • Ability to perform tasks with a high degree of accuracy and attention to detail, reconcile and identify differences in documents as well as an ability to take initiative, and anticipate informational needs as situations and projects develop.
  • Possess strong organizational and record keeping skills.
  • Possess strong writing and editing skills, and a critical eye for style, grammar, consistency, punctuation, and sentence structure.
  • Proven ability to proactively plan, problem solve, and follow-up.
  • Ability to handle multiple tasks, conflicting priorities and deadlines efficiently and accurately.
  • Excellent clerical and computer skills, including proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and customer relationship management software, such as Child Plus
  • Ability to exercise tact, diplomacy, judgment and discretion, particularly related to sensitive or confidential information.
  • Approachable and acts in a respectful manner and ability to comfortably interact with people from many different backgrounds.
  • Knowledge of charter schools, Early Head Start, State Preschool or educational institution operations helpful as well as social service and nonprofit programs.
  • Aptitude for understanding complex contracts and/or grants/spreadsheets, regulations.
  • Ability to interpret, apply and explain State and local policies, procedures laws and regulations.
  • Able to promote the mission and values of Volunteers of America Southwest.
  • Ability to travel to multiple counties.
  • Proficient in web based databases and uploading information onto a website.
  • Sense of humor, flexibility, and ability to contribute to a collegial, respectful, and supportive office environment.


Program Support

  • Researches, analyzes and evaluates new or proposed complex legislation, statutes, regulations and policies by local educational agencies and associated agencies.
  • Develops and presents analysis and recommendations on strategies.
  • Assists in drafting policies, procedures and manuals.
  • Coordinates and facilitates training around specific topics.
  • Develops and supports implementation of data tracking system and serves as administrator for system.
  • Generates, completes, and reviews reports for accuracy.
  • Creates drafts of correspondence and applications.
  • Consults with various agencies as needed to gain understanding of compliance issues.
  • Sources information related to a broad range of education and health and human services policy and programs.
  • Assists in preparation of audit information.
  • Tracks and communicates changes in contracts, regulations and requirements within the field of early childhood education, charter schools, social service and healthcare programs.
  • Participates in team discussions concerning program and grant making strategies, program management and evaluation. 

Administrative Support

  • Provide clerical and administrative support as needed.
  • Organize and schedule internal or external meetings; work with staff to prepare, assemble, and disseminate all relevant materials for those meetings; take minutes when appropriate for these meetings.
  • Actively engage with senior program staff to determine where administrative support is most needed to advance the mission and vision of the organization.
  • Work cooperatively with other administrative support staff providing additional assistance as needed.
